Your duties

Key Responsibilities

  • Attend any meeting that requires a minute taker and ensure minutes are produced accurately and in a timely manner.
  • Working alongside the Recruitment Manager, ensure all current vacancies are advertised across our normal platforms and updated accordingly whilst complying with safer recruitment practices.
  • Oversee the HR Admin inbox and use for all daily correpondence.
  • Deputise for the Recruitment Manager and provide ongoing support with the full recruitment process.
  • Support the Recruitment Manager with sending, chasing and verifying new employees employment references in line with safer recruitment procedures.
  • Support the HR Managers with the Absence & Leave system as requested to ensure accuracy.
  • Prepare documentation if required using supplied templates to support the HR function.
  • Support the Recruitment Manager / Wilts & BANES HR Manager in ensuring all employees have an up to date contract of employment.
  • Respond to reference requests for ex employees using the supplied template.
  • Review all suitability declarations and medical questionnaires and refer to the appropriate person for further action if required - Wellbeing Manager / Safeguarding & Compliance Lead / Early Years Manager.
  • Liaise with local / feeder schools and colleges about careers events and attend when required as a second advocate.
  • Maintain the Head Office Employee Matrix ensuring DBS Update Checks are kept up to date, working patterns / hours are recorded correctly and employees are reminded when training needs updating.
  • Proactively research new places for recruitment campaigns and advertising.
  • Support the marketing team with any recruitment campaigns they may be organising.

Working Collaboratively

  • This Job Description is illustrative and not exhaustive. The post-holder will be required to undertake such comparable duties as the HR / Recruitment Managers or any member of the senior leadership team requires and demonstrate a level of commitment appropriate with their administrative support position.

What you need

Essential

  • Proficiency in SharePoint, Outlook, Word & Excel
  • At least 2+ years experience working as an administrator (ideally supporting across multiple sites)
  • GCSE 4+ in English and Maths (A – C)
  • Full driving licence and access to a vehicle as you will need to travel between sites regularly and attend events
  • Enhanced DBS
  • Excellent communication & interpersonal skills both written and verbal
  • Able to follow instructions and work using own initiative as necessary
  • Highly organised and motivated with good time management
  • Ability to maintain the highest degree of confidentiality
  • Commitment to safeguarding children at all times
  • Ability to engage and interact positively with all stakeholders
  • A willingness to undertake relevant further training as and when required

Desirable

  • ICT User Qualification- ECDL or above
  • HR sector experience and / or qualification advantageous
  • Subscription to the DBS update service
  • Food Hygiene Certificate
  • Paediatric First Aid Training (12 hours)
  • Emergency First Aid at Work (1 day)
  • Foundation Safeguarding Awareness Training
